Dear Yan and Kristen,

Congratulations on beginning the first week with World Cares Center. Your orientation is moving quickly! I am sending this to your email and will also put this in the Ready Responder Hub.  Below you will find a list of roles that support your goals and objectives while helping to further World Cares Centers mission and programs. Learning about the organization, our strategy, programs, etc. will be a part of implementing the project areas that you choose; it will go hand in hand.
Kristen, we have selected both the Hope, Love, and Courage and Social Media and Marketing roles for your fellowship based on your experience and interests. You may begin your work on the HLC initiative this Thursday by studying the guides on your desk after you finish the last training and the balance of the orientation work including your feedback . You can continue virtually on Friday and Monday, and we can discuss the strategy on Tuesday. We will also discuss the social media and marketing on Tuesday and Wednesday. 
Unfortunately, we do not have an HLC workshop scheduled during your stay, but I am happy to introduce you to our partners to discuss their findings. Regarding mobilizing volunteers, we to this through our social media and the Ready Responder Hub, so this aligns perfectly. We are really looking forward to hearing about your experience and how you can apply them to improving HLC and our Volunteer Engagement!

Yan, We have selected Development and Research and Outreach roles for your fellowship based on your feedback and interests. You may begin your work on development side this Thursday after you finish the last training and the balance of the orientation work including your feedback . You can continue virtually on Friday and Monday, and we can discuss the strategy and your findings on Tuesday. I will share with you the templates you need as well as the candid log in to conduct research.
In addition to your roles, Johnitta and I will be looking into events and activities related to your work that you can attend both on your virtual days and as a team. You can expect to hear back from us on that during our staff meeting on Tuesday May 5th. If you have requests, please send them to Johnnita and she and I will meet to discuss them and report back on what is possible.

Orientation 
Day 1: Meet and greet your supervisor to ensure you have all your documentation filled out, the materials you need and the access to all the technology and log in. Begin review of assignments.  Getting familiar. Review the websites, files, access, and read materials review program plan. Refer to Smart sheet for all of your links.
Day 2: Getting familiar continued. Review the websites, files, access, and read materials review program plan. Meet your manager to review.
You will be using outreach@worldcares.org(opens in a new tab) a shared email and Microsoft account. Please look for a folder on One Drive with your name on it
Your program plan is created through Smartsheet. You will be given a link to access your program plan which contains step-by-step tasks and guidelines.

Workflow 
You will be working with your assigned supervisor for direction and content. Formal meetings will take place one to two times a week to discuss your program plan, but we will sit side by side working so there is constant communication. It is expected that you will be able to manage your workflow but still understand that there are decision points that need to be discussed with me before implementation. Please do not hesitate to ask questions or obtain clarification about WCC, your role, or any assignments

Roles 
WCC values the diversity of a team that has a wide array of personal and professional experiences.  Realizing that everyone has something to contribute, our organization is committed to providing meaningful volunteer opportunities that allow individuals to work with and empower citizens, youth, and seniors as well as strengthening our organizational capacity.  By working with us, volunteers can connect with other civic-minded volunteers and are able to learn tangible, sustainable ways that they can contribute to our local, national, and international emergency preparedness and disaster response efforts. 
Development -Work with the Development team to navigate the landscape of the philanthropic sector by identifying new foundation, corporate, and government grant prospects for emergency preparedness/disaster relief funding. Grant Writing Volunteers assist with drafting letters of intention and narrative grant sections, in addition to compiling and mailing grant proposal pieces per guidelines.
The Development Team meets on Tuesday’s at 11am via Zoom. You will meet with the team ready to share insights into the assignments you have been given. You will share your drafts and research, gain insight and here from experts in development as you research draft, complete and submit grant applications, sponsorship opportunities and more. You will check in with the President on Tuesday and Wednesdays during staff and special meetings. 

To begin this project, you will:
Review the current list of funders
Develop research-backed strategy for your approach to prioritizing grant applications
Use Candid.org to research additional funders and sponsors 
Enter your findings in a development tracker with all the details required to make an informed decision, We have a template
Once all is approved, you will work with the team to discuss findings, create drafts, finalize proposals and submit them 
You will end this project with a report of your submission and a clear plan for future applications

Research and Outreach:  Expand the organization’s capacity and compile information about current disaster management issues.  By compiling relevant demographic information about the communities, we serve, making relationship-building phone calls, and updating program-related materials with relevant information, as well as guest speakers for upcoming programs. Research Volunteers contribute to the sustainability of the organization. Assist the Programs Manager with community and constituent training outreach to promote and schedule World Cares Center training, preparing training materials and attending the WCC training classes and fairs and wellness events representing WCC. Maintaining and creating an outreach contact list and providing information via email, telephone calls and other platforms based upon our training schedule.

To begin this project, you will:
Review the current list of partners 
Research and Develop a list of Subject Matter Experts (SME and honorees) in Disaster Management, Business Continuity and Mental Health to invite as guest speakers
Research and Develop a list of those who can be honored for their leadership roles in community-based disaster response 
Research community events that we can attend to promote our work 
Develop research-backed strategy for your approach to prioritizing outreach and engagement

Once all is approved, you will work on outreach letters and scripts, conduct outreach, schedule speakers and events to participate in.
You will prepare for and attend the events on behalf of World Cares Center
You will end this project with a report of your work and a strategy to continue the momentum you have built

Social Media and Marketing Work with the Marketing Committee on social media strategy of our organization and build the organization’s online presence. With social media platforms, Social Media Volunteers learn about new, emerging trends in the field of emergency preparedness/disaster relief and contribute to the organizations ability to collaborate with partners, enabling us to better serve the local and national communities. They will also develop content for the Stars Under the Stars Fundraiser
The Marketing Committee of the board meets monthly; however, the Chair will be meeting with you on a weekly basis to discuss strategy and direction. You will be creating a social media and marketing calendar, discuss best approaches, create and post content. At the end of your project you will run reports and gather data on the impact of your work for an informed strategy moving forward.

To begin this project, you will:
Review the current social media posts of World Cares Center and competitors
Develop research-backed strategy for your approach to social media and marketing . You may start with an outline
Develop a content calendar with all posts that will be made including newsletter and outreach emails as well as social media: You may start with an outline
Once all is approved, you will create the materials in Canva and constant contact. You will use Hootsuite to schedule your posts 
Improve and Develop new marketing materials 
You will end this project with a report of your findings

Hope, Love and Courage 
The Hope, Love and Courage program has been developed for and delivered in several languages and for various disaster responses. We are currently using one guide for caregivers and parents and one journal for all ages. The project will include breaking down and creating new content to have the following journals for children and expanding the caregiver guide to include matching guidance for the newly sectioned journals:
Ages 3-5 years 
Ages 6-9
Ages 10-13
Ages 14-18
Children with Autism 
To begin this project, you will:
Review the current guides 
Develop research backed versions of the new journals above in draft form and review with your supervisor for input. You may start with an outline
Develop additional sections for the Caregivers Guide to include guidance for the above ages and Autistic Children 
Once all is approved your will create the materials in Canva and translate the training for Caregivers into Articulate

Technology
Work with a virtual team including website designers and developers. Learn about SEO optimization and help the team develop World Cares Centers new Website and improve the Ready Responder Hub. The Technology meeting is held on Wednesdays via Zoom. 

To begin this project, you will:

Meet with the team and the presidents to learn our progress and goals 
Develop a calendar and agendas for each meeting and track deliverables 
Research best practices and partners sites 
Work with team that is creating wireframes to understand and validate approach 
Once all is approved, create a schedule to review with the President, then developer
